Nowadays, the number of providers and opportunities in the field of HR systems seems endless. The choice is huge. However, that probably also causes you anxiety and stress about choosing. Because let's be honest: every smart salesperson crows that their system is really the smartest when they're having coffee with you for the first time. Once you have implemented it, the flaws appear or you still have to buy additional modules.

How do you know what really suits your needs?

In this blog, we would like to walk with you into the provider market. And hey, you know us. Of course, we'd love to give you some useful tips and tricks along the way.

First of all: what do we actually mean by an HR system? It is the software that supports the HR department and Payroll in managing personnel data. This can be very limited, but also to arranging “human resources” in the broadest sense of the word. For example, consider:

  • personnel registration (name and address details, contract data, etc.)
  • setting up and managing personnel files
  • time registration
  • payroll administration
  • absenteeism registration
  • talent management
  • recruitment

Are you a starting company and want to purchase an HR system for the first time? Or are you considering trading in your rattling system of the year for a high-tech HR solution? Then we would like to give you a few tips.

1. Take your time

An HR system is an important hub in your business process. It has to work, it has to be right and it has to fit. If data processing fails or salaries are paid too late, it costs you an awful lot of goodwill from your employees. So don't rush into it.

Ask your question to various suppliers and take the time to carefully list all the pros and cons.

2. Be critical and economical

One company is not like the other. If you operate internationally, you need different functionalities than when you run the restaurant around the corner. So don't be fooled by slick demos and enthusiastic sellers. It's okay to be critical and frugal.

If a small Golf is all you need, don't let yourself be bought by an expensive Rolls Royce.

While we're on the subject of costs, know your budget. The costs for HR systems vary enormously. If you opt for a basic solution, you will probably only lose a few euros per employee. But if you want a comprehensive customised solution from a renowned supplier, you have to pay for it.

3. Ask yourself a few important questions

In your search for the HR solution, a few questions are very important:
- How does your organisational structure work?
- What short and long term goals do you have with your organisation?
- Who do you place which responsibilities with: does the focus of the direction lie with the manager or the employee?
- Which HR tasks and processes would you like to improve and why?
- What is the capacity of your HR and ICT department?

4. You don't have to do everything yourself

In line with the last question: there are also various service providers who can help you in this area. When making the choice, when implementing or maintaining the new system, or when executing your HR administration.

So you can be completely or partially unburdened. Of course, this also comes at a price. But on the other hand, your own employees from HR, ICT or the Payroll Administration are less burdened.

5. Flexibility is key

Technological developments are following each other in rapid succession. What is today's latest cream of the crop will probably already be obsolete tomorrow. Therefore, ask the supplier carefully about updates. Also consider possible expansion options in case your company suddenly enters booming business ends up, whether you still want to open a branch abroad.

Another point of attention when it comes to flexibility: connection options with other, usually existing systems. For example, a connection to your LMS, recruitment system, logistical planning or other modules. This not only increases the added value of the new system, but also your flexibility.

Personio

This software supplier mainly focuses on small and medium-sized companies between 10 and 2000 employees.

This supplier offers various functionalities in the entire HR field and says it already has more than 8,000 satisfied customers. There are three subscription options, increasing in features (and costs): Essential, Professional, and Enterprise. In addition, Personio also states that it also has space for customised solutions.

Personio is also internationally oriented. It is a player in more than 80 countries and operates from offices in Munich, Madrid, London and Dublin. Explanation of the costs for the various options is available on request.

Hear Ayhr

An all-in-one HR tool for SMEs.

This is how you present Hear Ayhr themselves. And indeed: a wide range of functionalities is presented on the website. From onboarding and payroll, to digital personnel records, personal development and HR Analytics: it's all possible. The supplier has customer service, which is rated as excellent.

After 14 days of free trial, HoorayHR costs €4.50 per employee per month. “One fixed amount without hassle,” the website promises. HoorayHR is based in Utrecht.

HR 2 day

HR 2 day focuses on employers with more than 250 employees who are dealing with complex processes and challenging HR issues. In addition, they indicate that they offer opportunities for employers in various sectors, profit or non-profit.

What they can offer? A complete HR and payroll functionality, flexible and scalable, and our own implementation method.

All HR processes are controlled from one central database. There are extensive self-service options and a 100% cloud application.

Thanks to a complete SaaS solution, HR2Day can be linked to almost any system. The data can be transferred securely and reliably to, for example, the tax authorities, pension funds and occupational health services without the need for a manual click. This provider has been part of the Visma Group since July 2019, but remains completely independent and takes its own course, the website states.

Visma | Raet

Well, while we're talking about this big player, we should also call this animal by name.

With HR software from Visma | Raet repetitive and administrative HR tasks can be automated.

This provider also promises more control over HR processes and “time and space for what really matters”. In addition to HR software, Visma also provides software for payroll administration, and is also in the market for HRM and Payroll Services, Talent and Workforce Management.

Visma|Raet mainly focuses on education, government and healthcare. According to the website, Visma was the first company to develop HR software for the cloud and offer a fully integrated range of HR software and services. The company is based in Amersfoort.

APHAS

With the software from APHAS salary processing, leave, absenteeism and recruitment & selection can be arranged with one click, the website promises. The company has developed self-service options for both management and employees. The HR software is integrated with AFAS payroll software, so that the payroll administration and HRM use the same database, which reduces the risk of error.

This major provider doesn't care if you're a large or small employer, and AFAS looks beyond just HR. The company even has one software solution for all business processes, according to the website. This company also has administrative solutions for freelancers and small entrepreneurs.

The company has 12,000 Dutch organisations as customers and is a “100% Dutch family business” based in Leusden.

So far, our little tour of the various options in the field of HR software. Our best advice? Get well informed and, with our tips in mind, take a critical look at all the great promises and golden mountains. An HR system is a considerable investment that will bring you years of convenience (or inconvenience!) from you have. So take your time.
